We know many of you may already have trackers in your vehicles, but if not, you can see below that there are many benefits:

Improve driver behaviour – monitor braking incidents and speeds to make sure your drivers drive in a manner to improve fuel efficiency. This can also reduce vehicle accidents and ultimately reduce insurance costs by reducing your insurance premiums.

Cut fuel costs – make sure the drivers take the most efficient routes and eliminate unauthorised vehicle use.

Reduce idling times – idling uses fuel unnecessarily and puts wear and tear on your vehicles for no purpose whatsoever.

Keep a track of your resource – your vehicles and fuel expenses make up a large proportion of your overheads, so it is crazy to not know where your vehicles are outside work hours. Trackers allow you to make sure you stay aware of what your vehicle are being used for outside work hours.

Detailed vehicle records at your fingertips – as long as you keep your vehicles well maintained you will get best fuel efficiency and your vehicles will hold their value. This will ultimately reduce your overall vehicle costs.

In the office, Malinko is great for improving the efficiency of your staff by giving them access to information quicker and easier, and giving you detailed business information via a dashboard or a set of reports.

We have partnered up with TomTom to create a seamless process from your customer placing an order to completing the order. This adds lots of extra benefits that you would not get from just using Malinko or just using TomTom and allows you to really improve fleet management:

Improve profitability – an integrated system gives you a better understanding of how your business is working throughout the whole process. Within Malinko there is a range of reports and business dashboard information which can be pulled from WEBFLEET and presented in a way that is most useful for you.

Increase productivity – get more jobs into a single day. Monitor arrival and departure times for jobs and compare between different drivers. This allows you to set standards for the jobs.

Impress your customers – at a glance you will know where your vehicles and you can predict arrival times, ensuring that you never let your customers down.

Improve business agility – have the ability to quickly and easily add jobs during the workday through the Malinko interface. In real time your drivers will receive the jobs and inform you when they have accepted them.

Food waste – is it the final piece of the waste hierarchy puzzle?

I worked in the waste industry for a number of years and during that time saw that the main element of waste that was going to landfill unnecessarily was food although how to divert this and collect it in a profitable way wasn’t clear. However, my interest in this subject was recently piqued when I saw that a local waste company – Fresh Start- now have a Manchester-based food waste collection scheme and recently WRAP have published a report on the composition of waste disposed of by the hospitality industry which states that 600,000 tonnes of food waste was thrown away in 2009.

We’ve come a long way, baby

In 2006, WRAP funded a series of trials to investigate the feasibility of collections from SMEs. Amongst these was a food waste collection by Moray Waste Busters who chose to collect food waste for free from 5 SMEs, as they felt at this time the market would not bear a charge. They used the best small scale composters that are on the market for the first stage and followed this with putting the material through wormeries in the second stage. They did not allow any meat in the food waste, which lead to having to look through the material to ensure decontamination.

The following year WRAP funded a second round of collection trials the following year. This time, there was a food waste collection by Bexley Council. The technology for processing the material was different this time – in-vessel composters that allowed meat to be mixed in with the food waste. However, they were only able to do this as the service piggy-backed their domestic food waste collections, and they still didn’t feel they could charge enough to make the collection service profitable and charged the service out at cost value. Clearly, food waste still wasn’t a profitable activity. Their intention was to collect from 45 businesses, but only managed to get 27 on board.

In 2008, WRAP again funded a food waste collection trial. This time the collection service was by a company called Allmead. They found during the course of the trial that the service wasn’t profitable enough and once the funding ended they cancelled the service. Again, the number of businesses that were collected from was small – they only collected from 10 businesses and found that their service was more expensive than residual waste collections.

Travelling Without Moving

The problem of recruitment is one that has occurred again and again over the years. Those organisation that process food waste as their core business have tended to struggle to recruit businesses to collect from. Rotters in Liverpool tried to promote their food waste collections around 2009/08, but from looking at their site today (December 2011) there is very little about it. Similarly, a three year project in Lewes to set up a food waste collection scheme has resulted in the food waste no longer being collected. But it is not only small community sector waste organisations that found it difficult. In 2008, TEG launched its own food waste collection services. Needless to say, it is no longer running. It appeared that although lots of people agreed it was a good idea, nobody could quite get it to stack up – the problem wasn’t the gate fee, it was logistics.

Movin’ Right Along

Now it seems there is a new batch of waste management companies who have decided to step into the fray. This time they are waste collection companies who have developed in a different way. Simply Waste Solutions is a good example. They started out doing waste collections, and have increased the range of materials they collect to include food waste.

A new kid on the block is Forge Recycling. They are a waste collection company who were assisted in setting up by CO2Sense in order to ensure that their waste collections had a particular emphasis on waste food collections, and have got a vehicle that will allow them to collect food waste at the same time, but in a separate container from other waste streams.

Wastewise has developed in a slightly different way – from a landfill operator to become not only a reprocessor with a number of different facilities, but also a waste collector.

The common factor with all of these companies is that food waste was not the core of what they are doing – it is an added extra. This reflects how companies view ethical disposal of food – even for a restaurant ensuring that this waste doesn’t go to landfill is really only an added extra until it becomes either financially unsound to continue landfilling, or the legislation changes. It is crucial that to make food waste collections financially sound, the business has to ensure that delivers efficient waste collections.

Road to Nowhere?

However financial sense it makes to compost food waste, many nationwide companies want to be able to standardise practice across all branches. This could be where Vegware’s new service comes into play. It is there to assist you to find a waste food collection no matter where you are in the country. I suspect it will be used by waste brokers across the country to sell their services as a joined up food waste collection.

Legislation undoubtedly plays a role in changing behviour, and at one time the Labour government suggested a landfill ban for food waste although it appears this has been shelved now as there has been no mention of this policy since the change of government.

One element that I’ve not mentioned is that the WRAP report at the top of this article also said that of the 600,000 tonnes of wasted food 400,000 tonnes could have been eaten! It would be unethical to write an article about food waste without mentioning to great work that is carried out by Fareshare as they work tirelessly to divert food waste from landfill and get it onto people’s plates. However, as they are a charity, it shows how difficult it is to divert food waste from landfill and make it stack up.

I would be interested to hear of other food waste collectors, or other people’s experience in this matter – what do you think?

Not the most exciting headline, I know – however the implementation of the Waste (England and Wales) Regulations 2011 has brought about some very visual changes to the requirements placed upon businesses, as some changes have been introduced to the venerable waste transfer note.

If you are unsure what a waste transfer note is – it is basically a bit of paper that goes with every bit of waste that is moved from A to B, or indeed C or even D. These can either be issued annually if the waste is collected on a regular basis and the size and make up of the waste remains consistent in this period – for example a weekly collection of general waste. However, if the material you have collected can vary, then you are required to have a waste transfer note issued each time a collection is done. An example of this would be to have source separated recycling and different things are picked up each time, or if you visit someone on an ad-hoc basis

There are a number of different things are that required to be on a transfer note, the most notable being:

- The registered address of the waste carrier
- The address, date and time of the transfer
- A description of the waste, including its EWC code
- The quantity and how the waste is contained or packaged details of the permit, licence or exemption of the person receiving the waste

The additional requirements are now as follows:

- Statement on the waste transfer note that some attempt has been made to apply the waste hierarchy on the waste produced
The SIC (Standard Industrial Classification) of the waste producer.

I see a number of problems with this. Firstly, I’m not clear how the statement is really any stronger than the pre-treatment regulations that came in a few years ago. Although, maybe once the final effect of this Regulation comes into force – the requirement to segregate certain wastes and keep them separate – things will really shift.

It will be interesting to see how strictly this will be enforced, especially in light of all the investment that has gone into MRFs over the last few years. If the Environment Agency genuinely insist upon material collected source separated, what effect will this have on businesses who have invested in co-mingled collections infrastructure? I suspect it will look something like a single bin with separate paper and cardboard placed within the bin and potentially food collected separately. Now is the time to look at food waste collections!

Another problem is that many businesses don’t know what their SIC code is, thus putting the burden onto recycling companies that have to ensure that the waste transfer note is correctly completed. To further complicate things, Hazardous Waste Consignment notes require the SIC 2003 code to be used, whilst Waste Transfer Notes will require the SIC code 2007 to be used!

Luckily there is a conversion table on the Companies House website: http://www.companieshouse.gov.uk/infoAndGuide/sic/sicConversionTable.shtml

and on The Environment Agency website here:
http://www.environment-agency.gov.uk/business/regulation/129242.aspx#What_SIC_Codes_do_I_use

Using our CRM software you can record both the 2003 and 2007 SIC code against each separate site within the system.

Finally, although it states on the Environment Agency website that this information:

“is therefore valuable to help make strategic planning decisions, for example on the need for waste infrastructure.”

as the information collected on these waste transfer notes is not currently being given to anyone to collate I cannot see how it can possibly help with strategic planning decisions!

***STOP PRESS 24/11/11***

I was so confused as to this explanation given for putting SIC codes on waste transfer notes I phoned the Environment Agency to get clarification. I was told that they agreed with me had put a request into the government to withdraw the requirement for putting SIC codes onto waste transfer notes, as it puts an “unnecessary burden” onto businesses! I was also encouraged to put in a complaint about it. The place to complain is Defra, and you can contact them here:

http://www.defra.gov.uk/corporate/contacts/

Hopefully, we can get this crazy requirement removed from hard working waste companies!

It seems that after the last two years of heavy snowfall in winter, the country is bracing itself for another big freeze this year. The BBC has decided to look at the issue in it’s programme “Will it Snow?’ which can be seen at this page here: http://www.bbc.co.uk/programmes/b0175m9n

Although businesses who rely on being out on the road may struggle to carry on with business as usual if we have the same problems as last year – cold temperatures, heavy snowfall and lack of grit – there are many things that knowledge-based businesses can do to carry with business as usual. And indeed, there may even be lessons learnt here to encourage and enable more working from home, hopefully reducing everyone’s commuting times.

Let’s take the tools of the average office one by one and see how they can be adapted to allow you to work from home:

1. Email – despite many people effectively being early adopters of the cloud approach with their personal email addresses by using webmail such as hotmail or gmail, in the business world, the majority use Outlook, although its market share is reducing. Although companies can invest in an exchange server in order to allow users to view their emails from anywhere, every company I’ve worked for has not been in a position to justify such an expenditure. We use Gmail for our emails here at Liquid Bronze, and with the Google powered search function, and oodles of storage, it works really well for us.

2. Google Apps for sharing information. I know I’ve already mentioned Google Apps, but it is great for sharing documents and calendars as well as the web-based email. You can choose to share some calendars and keep others private, and do the same with text documents, spreadsheets, presentations, forms or drawings. This means collaborative work is far easier and negates the need for a server to hold these kinds of information.

3. Dropbox. So, you still want to use MS Office, or another computer-based application? No problem – by putting the files into dropbox you can share documents very easily. Dropbox is a cloud application that has a folder based on the internet and then syncs this folder with one on your computer. If a number of people share that same folder, then as soon as someone edits a document, it updates on your computer. The only problem occurs when people try to edit the same document at the same time – it creates two copies of the same document. However, it is great for allowing people in different parts of the country share all manner of information.

4. Use VOIP-based phone network. Although VOIP systems are generally only a little cheaper than regular telephony systems, they allow you to have multiple lines down the same connection. This means you can quickly and easily set up a number of different lines coming into your office. They are also designed to be easy to divert, and diverting the line can normally be done remotely via a web browser. This means when you can’t get into the office, you can easily divert all phone calls to your home number and your customers don’t even need to know!

5. Record your internet browsing through different tools. My favourite social bookmarking tool is Diigo, although there are lots of others out there. These tools allow you to bookmark websites and then choose to share or not share these with other people. One big advantage in this context is that your bookmarks are stored in the cloud, which means no matter what computer you are on or browser you are using, you will be able to see what sites you have bookmarked in the past. Another tool is firefox sync. This syncs up your complete browsing experience, such as saved passwords, open tabs, browsing history and bookmarks on your work and home computer. This means that you can immediately see exactly where you left off at work when you look on Firefox at home. Obviously, the biggest restriction with this is your choice of browser.

6. Malinko – “ah-ha”, I hear you cry, “of course!” Taking the same approach as the other tools listed above, Malinko will allow you to see your information on your work computer, home computer or laptop. The system is backed up multiple times a day and once overnight, so there is no danger of you loosing your information, and even if you have got some kind of obscure setup at home, such as using Arora on Linux (yes, I know Ubuntu isn’t the only Linux…) it will still work. So, you will still be able to access all your customer’s details via our CRM & Job Scheduling software.

7. Okay, so nobody else is at work due to the snow – a great day to catch up with the accounts. But unless you have got cloud accountancy, you have got no chance of doing that. Luckily, there are a number of different options for this as well. Our favourite is Liquid Accounts, and it works well with Malinko too, so you can make sure your business is working as efficiently as possible. Other options can be seen by Googling the phrase cloud accountancy software. This means you can continue to get on with your working day, even while everyone else is out playing in the snow!

Much has been written recently on the internet about the advantages of cloud applications, but I thought it was worth briefly explaining why we came to the decision to make Malinko a cloud application when we initially started developing it around 2009.

1. Interoperability – as Malinko is web-based software, it does not have a preference what kind of computer or operating system you are using. We were recently challenged about how many different systems it can actually be used on, so we decided to test it. Although not an exhaustive list, we now know it works on the following systems:
- Windows 7 using IE 7,8,9; Chrome 10,11,12,13; Firefox 3,4,5,6; Opera 10,11; Seamonkey; Orca; Avant; Maxthon
- Mac OSX using Safari; Chrome 10,11,12,13; Firefox 3,4,5,6; Opera 10, 11; Camino; Seamonkey
- Linux using Firefox; Chrome; Opera; Midori
- iPad using Safari; Diigo; Firefox
- Kindle using embedded browser
- Android phones, iPhones and Blackberries.
So, there you have 41 different combinations, and as I said – its not even an exhaustive list!

2. Easily shared. Web-based applications allow your staff to access their information from anywhere, and allows them to view and edit the same information at once. This allows more collaborative working and ensures your team works more efficiently.

3. Improved continuity of service. Software as a service (SaaS) allows us to ensure that all users of the software are using the same version. This is because updates to the software are deployed by us, rather than expecting the users to update software that is sat on their computer. This means that this software is easier to support as we immediately know what version you are using if you require support.

4. Rapid improvements in functionality. As Malinko is hosted in the cloud it allows us to roll out improvements rapidly, meaning any development work we do for one client can be enjoyed by the rest of the customers.

5. Ensure backups for the customer. Malinko, is backed up multiple times during the day and once overnight. Many small businesses are aware that they are supposed to do backups, but the responsibility is not part of any one person’s job description, so backups can be patchy or even forgotten about all together. Even if the backups are done, there can be a lack of knowledge of what to do if the backup is needed and many businesses that I have visited have never even thought to take the backup off site. It is unheard of for a business to back up their software as often as Malinko is backed up.

6. Lower costs. Web-based software means you don’t have to pay for software up front, you don’t have to invest in expensive server infrastructure, and you don’t need staff to have any level of IT expertise. You also only have to pay for what you use – no annual contracts.

7. Adaptable and flexible. Due to lower investment costs it is easy to change applications. You can rapidly increase the number of servers your application is hosted on, which means as you increase the number of staff, the software keeps up with you.

8. APIs. Due to the nature of cloud applications, they often have an API to allow them to integrate with other applications, allowing the user to have a more integrated experience if they are looking to use a range of different applications.

We like to work simply, so we’ve tried to keep the search function as simple as possible. This is why we have just got one single search box, shown on every page of Malinko, which you can see up in the top right hand corner, like in the screen shot below:

Once you have filled in the search box, Malinko will then search multiple fields for each client record. So for instance, if you have a client in Edinburgh, but you don’t remember the name of the client, you can just type in Edinburgh and Malinko will bring up all the clients that have Edinburgh in the address. Similarly, if you only know the first name of the guy who works there is “Dave”, then type that in and all the records with “Dave” in will appear.

Searching multiple fields for a record also allows you to do powerful searches, so for instance you can look up all your customers in a single postcode or telephone code area.

Your results are then shown in different categories, so you can easily identify the one you are looking for. The results are shown in the following categories:

- Clients
- Sites
- Issues
- Users

Anyone who runs a business with mobile staff – for instance recycling or waste companies, cleaning companies, engineering companies have an ongoing challenge of communicating with their staff out in the field. How do you get in touch with them, how do you deal with the tricky issue of them losing or breaking a phone? We explore some of the problems you may face below:

1. There is no mobile. This could be okay if you have got cleaners on a site with you, but what if they are working on a separate site from you? Also, what if you have staff out in the field and you need to tell them further information? For instance, you may run a recycling company and a customer calls up to ask you to pick up extra items. You would have no way of contacting them and ultimately it is going to lead to more work in the long term.

2. Your staff provide their own mobile and you pay for the calls – this is fraught with difficulty. Firstly, who pays for the calls? If you staff are on pay-as-you-go contracts you can buy them credit every now and then, but this throws up more problems. How do you know when to buy the new credit, do you go through their personal phone bill with a fine toothcomb to find the calls that relate to work, or just pay on a regular basis?

3. You staff provides their own mobile and they damage it – do you replace it, or pay towards another one? If you pay for it, who does the phone belong to then? Even worse, what if your staff member says they have lost it? So, you buy a new one – how do you know they have actually lost it? I’m not saying your staff aren’t trustworthy, but if they are in low paid work, there is no point an obvious temptation in their path! All in all, a bad idea to have your staff provide their own mobile!

4. Supply a standard mobile – ok, you have figured out that you need to communicate with your staff and you need to be the one providing the equipment. There are still a number of difficulties you will need to address. Firstly, you will need to ensure that you have a policy in place that addresses what will happen in the event that your staff member loses or damages the phone. A regular mobile phone without a case can be easily damaged, which is why you can now buy ruggedised phones.

5. You will also need to think about locking the phones down so they can only call certain phone numbers. However, if you have a large and ever changing customer base this could be a nightmare. Instead, it is probably worth considering getting a contract that will cover a certain level of usage and keep an eye on the phones to make sure repeated calls are not going to a single number, calls being made outside office hours (or be very strict about signing phones out and in at the start and end of the day), and make sure that no one staff phone usage is well outside the pattern of the other staff, unless you feel there is a good reason.

6. Supply a ruggedised standard mobile phone – a good example is one made by Sonim, which they claim can be run over by a digger! http://www.sonimtech.com/products/ However, you are still facing issues of what to do if the phone is lost. For instance, would your staff have to pay to replace it? How many phones can they lose or break before you say enough is enough? And, at what point is it the fault of the staff? For instance, I knew of a recycling collector who had a phone stolen out of his vehicle – not his fault you might think. But then it transpired that he had left the vehicle door open, on a busy street in the middle of the city, with the mobile phone sat in full view on the seat! It might be a good idea to have a system whereby if your staff lose or damage a phone, they have to put a deposit down on the second one, or pay for a second one if they lose that.

7. Okay, let’s assume you have figured out your policies exactly for your staff to have a mobile with them – now it’s worth thinking about giving them a really useful device! A phone only allows you to call or text your staff and for them to call or text out. If you give them a smart phone, you can look at a range of other uses for the device such as:

Mobile phone applications. You can now get cloud applications for holding customer data and job scheduling. This means that your office staff and mobile staff can see the same information as each other in real time. It also means that you can give your drivers a phone and there is no requirement to print off job sheets, you can change their work schedule on their device, and the drivers can record immediately what the result of the job was, for example – job complete, collected 20 bags of paper etc Being in a situation whereby your staff can use these applications can save a great deal of time and money, and completely removes the need to enter collection data once your staff get back to base.

GPS tracker – you can see where your staff are at any one time. There are lots of reasons why vehicle trackers are useful, so I won’t go into that here. With a GPS tracker on the phone you can also see where they are when they are out of the vehicle.

Satnav – you can now get satnav applications far smart phones, which means that you no longer have to buy a separate satnav for the vehicle.

QR code readers. You can give each of your customers a unique QR code. Your staff member then reads the QR code with their phone when the customer feels the job has been done to a satisfactory level, so you have definite proof that your staff have actually done the job. This is particularly useful for domiciliary care or homecare providers, where there can often be issues with care staff not actually visiting the people they are meant to look after.

8. Ruggedised smartphone. We have recently spent quite a bit of time looking for a device that has all the features of a smartphone, but has a rugged exterior. Unfortunately, there seems to be a gap in the market for these! The only one that we found was the Motorola ES400, and we felt that the device wasn’t really fit for purpose. However, as smart phones are quite expensive, it is worth considering getting a really tough case for them if they are going to get heavy usage – however, this could cause a problem if the device is touch screen.

9. Handheld mobile computers – these are like a smart phone plus. One company who produce these kinds of devices are Pidion. They often will have all of the features described above for a smart phone, but in addition may also have:

Barcode reader. Although smart phones can read QR codes, the technology isn’t perfect and can sometimes take a little bit of time to focus the camera to read the codes. A purpose built barcode reader is much quicker, more reliable, and more convenient to use.

Signature capture. A great way to quickly and conveniently demonstrate that you have provided the service to the right person.

You are able to drop them without them breaking! It is tricky to know whether to invest further into your staff hardware – if you get smart phones you might just end up with a series of more expensive phones being broken regularly. However, if you invest in mobile computer this is an event greater investment, so needs to be carefully considered whether the investment is worthwhile.

The Carbon Disclosure Project released their first report July 2011. This suggests that cloud computing and web-based applications are part of the solution in helping businesses reduce their carbon emissions.

It is thought that adoption of cloud technologies is likely to increase from 10% of technology spend in 2011 to 69% of technology spend by 2020.

As the shift to cloud technology reduces the need for businesses to invest, support, renew and replace their own software and hardware infrastructure, it not only reduces consumption of resources it also enables business to work in a more efficient and responsive manner.

It can be seen that large businesses are increasingly moving towards cloud computing, but this shared capacity approach is also very suitable for SMEs (small and medium sized enterprises) as it also helps businesses reduce their costs and level out their anticipated IT expenditure.

We’ve been looking at the new Mac OSX Lion operating system with interest. It seems as though Apple are deliberately moving towards harmonisation of their OSX operating system and iOS operating systems – the main indicator is reversed scrolling. It might seem like a small thing at first, but it changes the whole way you think about what is happening.

On an iPad, you touch the screen and and move your finger up to drag the screen up and thus see further down the screen. Until now, on OSX and all other desk-based operating systems, with a mouse you scroll downwards to drag the screen up and thus move down the screen. Increasingly, we are going to find keyboards and mice becoming redundant over the next few years – there are already laptops out there with 2 screens, rather than a screen and a keyboard.

As Malinko is web-based software, none of these changes will cause a problem to the user interaction. You don’t have to worry about updating the software, or getting the right version – we make sure it just works. And luckily for you, the office is populated with geeks who just love to make sure Malinko works on all the latest gadgets!

As the Malinko system is web-based or cloud computing, it means it can be used by you or your staff from lots of different devices at the same time and means that there is no need to manually synchronise data. As you can see below, Malinko can be used on an ipad, but we have also set up an app so it can be used on a range of mobile devices – we have people who are regularly using Malinko on their iphone, Android smartphone or Blackberry device.

The mobile version is designed to replace a printed out job sheet. Each staff member out on the road is able to view their list of jobs for the day, and if you are a manager you will be able to see the complete list of jobs for the day for all your staff.

The full version of Malinko can be viewed from your laptop, netbook or ipad, allowing you to look at management information whilst travelling. As security is a concern, we ensure the connection between your computer and Malinko is encrypted using SSL. Using SSL to send information means that third parties cannot interfere with the data you’ve sent.

If you want to know more about how Malinko can help you, please don’t hesitate to get in touch – you can call us on 0161 850 0111 or use the contact form.
